What information do we collect about you?

For the purpose of processing your application, ProLinguo GmbH collects and processes the following personal information about you:

  1. Name
  2. Address
  3. Email address
  4. Telephone number
  5. Date of birth
  6. Application documents (e.g. CVs, references, performance reviews, qualifications)
  7. Working and native language(s)
  8. Photos
  9. Bank account details, if relevant

For what purpose does ProLinguo GmbH use your details and on what basis?

ProLinguo GmbH processes your personal data for the purpose of hiring suitable employees. Depending on the nature of the application, the aim may be an employment relationship or a relationship between client and contractor (freelancers).

If you apply to work as a freelancer, ProLinguo GmbH will process your data to enable a contract to be created, cf. Art. 6 para. 1 S. 1 lit. b General Data Protection Regulation (GDPR). If you apply for a job/internship, your data will be processed with the purpose of initiating an employment relationship, cf. Art. 88 GDPR und § 26 German Federal Data Protection Act (BDSG). Storage also takes place due to our legitimate interest in being able to cite evidence in the event of legal disputes, cf. Art. 6 para. 1 S. 1 lit. f.
We only process data concerning you which is essential for our cooperation.

Where does ProLinguo GmbH store your personal data and for how long?

All of your personal data will be stored on European servers or in enclosed areas in accordance with our commissioned processors. ProLinguo GmbH has concluded data processing contracts with all external companies who process your personal data as our data processors.

Your personal data will be stored in our electronic databases, email and cloud-based systems and on our fixed and mobile devices which can only be accessed by our employees. Your personal data may also be stored in our accountancy program and, in some cases, in hard copy.

Your personal data will be deleted once it is no longer necessary to process it, no longer than 6 months after the position has been filled.

You may consent to remaining in our pool of applicants, in which case your data will be deleted after two years.

If your application results in a working relationship/employment, your data will be stored and deleted six years after your departure from the company or the end of our working relationship. In case of doubt, the date of the last completed job will be considered as the end of the working relationship.
Personal data in our project management programs and address databases will either continue to be stored until you request their deletion or be deleted no later than six years after your last job.

Who has access to your personal data?

Your personal data can be accessed by our responsible employees and can also be shared with and processed by our legal advisors, external bookkeepers, tax consultants, banks and accountants as well as public authorities.

We will not pass your data on to third parties unless legally obligated to do so.

Your rights and means of complaint

As part of us processing your personal data, you have a number of rights as stated in the General Data Protection Regulation. This includes the right to information regarding which of your personal data ProLinguo GmbH has stored, which you may amend at any time, or exercise your right to data transfer. You can request the deletion of your data at any time, insofar as no legal retention periods require otherwise. ProLinguo GmbH processes your personal data in order to identify you as a contractor and maintain contact with you, manage and invoice jobs assigned to you and process your queries.

ProLinguo GmbH processes your data as part of its duty to comply with the agreement that we have with you or in order for a contract to be concluded, cf. Art. 6 para. 1 S. 1 lit. b of the General Data Protection Regulation.  Storage also takes place due to our legitimate interest in being able to cite evidence in the event of legal disputes, cf. Art. 6 para. 1 S. 1 lit. f. We only process data concerning you which is essential for our cooperation.

Project details and personal data in our project management programs and address databases will either continue to be stored until you request their deletion or be deleted no later than six years after your last job.

It is usually necessary to share personal data included in files which you send to ProLinguo GmbH for translation or other forms of processing with external suppliers or translators. With this comes a job processing contract binding them to data protection.

We will not pass your data on to third parties unless legally obligated to do so.
